SmartAdvocate x Acrodocz Integration Guide

Overview

This guide walks you through integrating SmartAdvocate with Acrodocz to streamline the summarization of medical records and bills. Follow the steps below to set up and start using the integration.

1. Setting Up the Integration

Step 1: Customers should create a new user in SmartAdvocate

Please see the screenshot below for reference, this will be found in SmartAdvocate Dashboard. Select the Admin dropdown and select User item, a screen will open. Add these items as shown in the screenshot below and you have to allow API Access specifically.

Step 2: Sign Up for SmartAdvocate x Acrodocz Integration

  1. Go to the Acrodocz platform and navigate to the SmartAdvocate Integration page. Here is the link: https://www.acrodocz.com/placeyourorder/SmartAdvocate/
  2. Enter your SmartAdvocate username and password ( Credentials of the User created in step 1).
  3. Acrodocz will validate these credentials with SmartAdvocate:
    • If credentials are correct, you’ll proceed to the next step.
    • If credentials are incorrect, an error message will display, prompting you to re-enter the correct login details.
  4. Once authenticated, fill in the following details:
    • Law Firm Name (Mandatory)
    • Contact Email (Mandatory)

2. Configuring SmartAdvocate Statuses

To ensure Acrodocz can identify and process medical records and bills, specific statuses must be added to your SmartAdvocate dashboard.

Step 2: Add Required Statuses in SmartAdvocate

  1. In SmartAdvocate, click Admin from the top menu.
  2. Select Picklist Maintenance.
  3. Choose ‘Case Statuses’.
  4. Click Add New Items.
  5. Add the following two statuses:

    Medical Documents Pickup – Records 

    • Description: Medical Documents Pickup – Records
    • Status Short Name: MedDocsRecords
    • Status Type: Status
    • Limit Group: None
    • Groups: All the medical related groups

    Medical Documents Pickup – Bills

    • Description: Medical Documents Pickup – Bills
    • Status Short Name: MedDocsBills
    • Status Type: Status
    • Limit Group: None
    • Groups: All the medical related groups
  6. Click Save.

These statuses are essential for triggering Acrodocz to start the summarization process.

NOTE: Triangulation will only occur if the patient name and defendant name match exactly across both the cases where bill and the records are present for the patient. The triangulation report will be uploaded to the case with medical records data.

3. Uploading and Processing Medical Documents

Step 3: Upload Medical Documents

For each case requiring summarization:

  1. Upload the necessary medical records and bills directly to SmartAdvocate under the corresponding case.
  2. Create different cases for Bills and Records, do not add bills and records documents for the same case.
  3. Update the case status:
    • For medical records: Medical Documents Pickup – Records
    • For medical bills: Medical Documents Pickup – Bills

Once the status is updated, Acrodocz automatically detects the case and starts processing the documents

4. Receiving the Summary

Step 4: Email Notifications and Payment

After Acrodocz processes the documents:

  1. You will receive an email confirming the summarization has started.
  2. Once out team reviews each summary for completeness and accuracy, you’ll receive a completion email.
  3. This email will include a payment link. To receive the summary PDF:
    • Click the payment link and complete the payment.
  4. After payment is received:
    • The summary PDF will be sent to your email.
    • The PDF will also be uploaded back to SmartAdvocate under the relevant case.

Your SmartAdvocate and Acrodocz integration is now fully configured and ready to streamline your medical document summarization workflow.
